Job Overview:
We are seeking a professional and friendly Receptionist to manage the front desk and provide exceptional customer service. As the first point of contact for visitors and callers, you will play a key role in creating a positive impression of our company. The ideal candidate will have excellent organizational and communication skills and be able to handle multiple tasks efficiently.
Key Responsibilities:
- Greet visitors and clients warmly, directing them to the appropriate person or department.
- Answer and direct phone calls using a multi-line phone system.
- Manage scheduling and appointments for staff, including meeting coordination and room bookings.
- Perform administrative tasks such as filing, data entry, and managing office supplies.
- Handle incoming and outgoing mail and packages.
- Maintain a clean and organized reception area.
- Provide information about the company and its services to clients and visitors.
- Assist with various office tasks as needed, such as preparing reports or organizing events.
- Address and resolve any issues or complaints from visitors or callers promptly and professionally.
Skills & Qualifications:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Previous experience as a receptionist or in a customer service role preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (phones, printers).
- Professional appearance and demeanor.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and the ability to work independently or as part of a team.
Preferred Qualifications:
- Experience with office management software and systems.
- Familiarity with basic bookkeeping or accounting practices.
- Bilingual or multilingual skills are a plus.
